Enable Salesforce to automatically trigger workspace creation in Concourse and initiate a Solution Studio intake, replacing manual Microsoft Forms and enabling Jira-integrated tracking with email and in-app notifications.
Currently, engaging the Solution Studio team requires users to fill out a Microsoft Form. This form submission generates a manual alert (e.g., email or MS Form trigger), which the Solution Studio team then translates into a Jira item to track activation steps. This multi-step, disconnected process is inefficient, error-prone, and slows down critical pursuit enablement workflows. Additionally, there’s no centralized notification or status view across Concourse and Jira for tracking the intake and activation process.
Design and implement a unified intake and workspace provisioning flow where:
Salesforce acts as the trigger for workspace creation and Solution Studio engagement.
The current MS Form is deprecated.
Concourse Asset Controller provisions workspaces automatically.
Solution Studio request creation is automated via Jira integration.
Notification and progress tracking span Concourse and Jira, supporting:
Email alerts
In-app Concourse notifications
Jira status syncing and visibility
Key Systems Involved:
Salesforce (trigger initiation)
Concourse Asset Controller (handles provisioning) - note: this is handled in another feature
Jira (automated ticket creation and tracking)
Save It (optional asset generation)
Notification framework (email, in-app, and Jira comments/status)
Salesforce-Based Trigger for Intake and Workspace Creation:
Given that a new opportunity in Salesforce meets intake criteria,
When it is tagged or flagged for Solution Studio involvement,
Then Salesforce triggers both a Concourse workspace creation via the Asset Controller and potentially a Jira ticket.
Automated Jira Ticket Generation:
Given a Solution Studio intake is triggered,
When Concourse receives the request,
Then a Jira item is created automatically with relevant metadata pre-filled from Salesforce.
Workspace Creation in Concourse: - note: creation of this asset controller is in another feature
Given the Concourse Asset Controller receives a valid request,
When required metadata is complete,
Then a Pursuit workspace is provisioned using standard templates.
Synced Status Updates:
Given a workspace and Jira intake ticket are created,
When any progress is made in Concourse or Jira (e.g., workspace provisioned, Solution Studio kickoff scheduled),
Then statuses are synchronized across both platforms for consistency.
Multi-Channel Notification Support:
Given intake or workspace events (e.g., creation, completion, errors),
When those events occur,
Then users should be notified via:
Email (e.g., provisioning confirmation)
In-app messages (in Concourse)
Jira ticket updates (status comments, field updates)
Fallback for Manual Override:
Given automatic flows fail or edge cases arise,
When no workspace or ticket is created,
Then users can still initiate a manual Jira ticket or intake form (if temporarily needed during migration).

Concourse Asset Controller enhancement (4) - if needed
Jira integration for ticket creation and status sync (4)
Notification framework (email, in-app, Jira hooks) (3)
This feature introduces a streamlined Salesforce-to-Concourse-to-Jira intake experience, replacing fragmented tools like Microsoft Forms and manual Jira entry. Workspace creation and Solution Studio engagement now happen automatically with full visibility into progress across tools and teams.
✅ Eliminates redundant intake forms and manual Jira tracking
✅ Enables scalable and consistent Solution Studio onboarding
✅ Keeps all stakeholders informed via cross-platform notifications and status syncing
You are now able to initiate workspace creation and Solution Studio support directly from Salesforce! The process automatically provisions a workspace, creates a Jira intake ticket, and keeps you updated with email, in-app, and Jira notifications. No more Forms or guesswork—everything is tracked and connected.
